Key responsibilities
1. Working with the Recruiter/ HR Officer in managing the recruitment processes
* Working with the Recruiter/ HR Officer in managing the recruitment processes for RMS, including: advertisements, scheduling, assembling recruitment packs, supporting interviews, ensuring a smooth starting process for the appointed candidate(s, tracking equal opportunities statistics

* Understand the needs of RMS clients and assist in recruiting the right calibre of care workers and nurse

2. Maintaining records
* Scanning, filing and record keeping relating to RMS and all staff
* Assisting in ensuring that all company registrations, licenses and insurance policies are reviewed and renewed annually

3. Employee administration:
* Assisting with start-up and leaver procedures including monitor, record, review and update recruitment and selection procedures
* Maintaining staff files (soft copies and hard copies)
* Maintaining the personnel database and other personnel records
- ensuring all records are up-to- date (visas, passports, change of name/ address/ bank details, enhanced DBS records, ID badges, etc)
- sending notification and reminders (by email/ post/ text message/ phone calls) to staff whose documents (such as visa, passports, etc) are expired or about to expire

* Assisting the Recruiter/ HR Officer with organising RMS induction days
* Procedures for holiday, maternity leave, paternity leave, and other absences
* Responding to routine enquiries about human resource functions and documents (in consultation with HR Manager/ Recruiter/ HR Officer)

4. Training and development, supervisions, appraisals
* Supporting the In House Trainer with organising RMS training staff (mandatory training and other specialist/ client specific training)
* Supporting the In House Trainer to co-ordinate all training
- informing candidates due for training and confirming their attendance (sending invitations and reminders by post/ email and text message);
- setting up for training and locking up after wards;
- getting refreshments for training and
- any other preparations for training.

* Liaising with the Operations Team to record supervisions, spot checks and appraisals (for field staff) on Roster, and regularly updating the supervision log

5. Support with organising RMS internal processes and events
* Assisting with organising staff meetings, carers forums, open days (venue, sending invitations, arranging refreshments/ meals)
* Assisting with organising RMS away days (including venues, registration, meals, transport, etc)
* Assist with staff satisfaction surveys

6. Administrative support to the HR Department
* Schedule and support team meetings as required
* Ensure paper work is prepared to agreed standards and sent within required deadline
* Minute meetings of team meetings and circulate to all before the next meeting
* Diary management including arrangements for regular and for one-off meetings and events (weekly management meetings, quarterly staff meetings (office and field staff), carers’ forums, away days, open days, induction, learning/ training events, other meetings as required)
* Assisting with correspondence, paper work and other routine support
* Any other duties as required in the HR Department
Number of Positions Available : 1
Working Week : 35hrs, Mon-Fri, 9-5pm
Salary : £200.00 Per Week
